Information for Authors Instructions for Submitting Extended Abstracts Abstract submissions for the MA&O conference are now being accepted electronically through AIAA's web site at www.aiaa.org. This web site opened for abstract submissions on 03 November 2003. To submit an abstract, authors must choose the MA&O conference from a menu of available AIAA meetings, or by following the Submit an Abstract link above. After choosing a topic of interest, each author is then prompted to provide his or her address, corresponding author information, citation information, audio and visual requirements, and biographical information. Finally, authors are prompted to upload their abstracts in two possible formats: MS Word or PDF. Full-length papers are encouraged, and extended abstracts (1,500 words minimum) in lieu of traditional (short) abstracts are REQUIRED, and are due no later than 16 January 2004 (deadline extended to 05 February 2004). Note that all abstracts must be submitted by 05 February 2004, be it paper abstracts, work-in-progress (WIP) abstracts, or abstracts for the student paper competition. To be considered for a full-length paper, each abstract must clearly describe the specific contributions and the current status of the work, and distinguish unambiguously between results at hand and those expected. Figures, data, and written findings must be included to support the status. A clear delineation of what work has been done and what work will be done is expected. Authors having difficulty submitting abstracts electronically should e-mail AIAA technical support at: paper_tech_support@aiaa.org. Authors will be notified of paper acceptance by 26 March 2004. An Author's Kit, containing detailed instructions and guidelines for submitting full/final papers to AIAA, will be made available on the web. Presentation at the conference will not be permitted unless authors provide a complete manuscript to AIAA by 25 June 2004 for inclusion in the at-conference proceedings. It is the responsibility of those authors whose papers or presentations are accepted to ensure that a representative attends the conference to present the paper. A "no-paper, no-podium" rule will be in effect for all presentations. AIAA will not consider for presentation or publication any paper that has been or will be presented or published elsewhere. Authors will be required to sign a statement to this effect. Conference Paper Templates and Author Kit Instructions regarding the format of the final papers can be found at the following AIAA website. Various templates including MS Word and LaTeX are also provided on the website. http://www.aiaa.org/publications/index.hfm?pub=27 Visas and Letters of Invitation If you need a visa to attend the MA&O conference, it is incumbent upon you to apply for a visa with the U.S. embassy (consular division) or consulate with ample time for processing. To avoid bureaucratic problems, AIAA strongly suggests that you submit your formal application to US authorities a minimum of 120 days in advance of the date of anticipated travel. To assist you in getting your visa, AIAA has offered to write a letter of invitation to anyone who is interested. To request a letter of invitation, please contact:
Click here to download the visa application letter directly. Conference attendees can register for the conference through the AIAA
web site. Briefing Breakfast for Speakers Authors presenting papers, panelists, and session chairs will meet for
a short briefing each morning of their session at 0700 hrs. As individuals
are seated by session number, please attend only on the day of your session(s).
Continental breakfast will be provided. For speakers who wish to practice their presentations a room has been
reserved. There will be a sign-up sheet on the door. In consideration
of others, please limit practice time to 30-minute increments. Timing of Presentations Each paper will be allotted 30 minutes (including introduction and question-and-answer
period) except where noted, as in the case of plenary sessions. It is
recommended that 25 min be spent presenting, while 5 min be left for the
questions-and-answer period. During the last two min of the 30 min time
allotment, the next presenter may begin preparing his or her audiovisual
equipment, so as to keep the schedule flowing smoothly. Audio & Visual LCD projectors and other audio and visual equipment will be available. |
