Who may participate?

If you are a regular or fixed-term employee scheduled to work 20 hours or more per week, you are automatically entitled to this benefit. Faculty and academic year coaches do not earn vacation time.

What is it?

This program provides you with paid time off according to the following schedules.

If you are a Nonexempt employee, you earn vacation time each pay period starting with your first day at work, as shown below:

During the 12-month period ending on the anniversary of your employment date: Vacation hours earned each bi-weekly pay period: Maximum time regular employees may accumulate and carry over to the next year*
1st year 1.84 48 hours/6 days
2nd through 5th 4.00 104 hours/13 days
6th through 10th 4.62 120 hours/15 days
11th through 15th 5.52 144 hours/18 days
16th through 20th 6.46 168 hours/21 days
Over 20 years 7.04 184 hours/23 days
*An employee hired prior to November 1, 1983, or an employee with 10 or more years of service may carry over to the next year two times the number of days earned per year.

If you are an Exempt employee, but not a faculty member or academic year coach, you earn vacation time each pay period starting with your first day at work, as shown below:

During the 12-month period ending on the anniversary of your employment date: Vacation hours earned each semi-monthly pay period: Maximum time regular employees may accumulate and carry over to the next year*
1st year 3.33 80 hours/10 days
2nd through 3rd 5.00 120 hours/15 days
4th through 6th 6.66 160 hours/20 days
Over 6 years 8.00 192 hours/24 days
*An employee hired prior to November 1, 1983, or an employee with 10 or more years of service may carry over to the next year two times the number of days earned per year.

If you are classified as an executive officer, administrative officer, or librarian, you earn 16 hours of vacation time a month, up to a maximum of 192 hours (24 days) a year.

If you are a part-time employee working 20 hours a week or more, your vacation accrual is prorated, based on the actual number of hours you worked, up to 40 hours.

How does it work?

Each paycheck will show the total hours of your accrued vacation, excluding any time that has not yet been recorded. Your vacation time may be used whenever you choose as long as you have your supervisor’s permission.

If you are a regular employee, you will receive pay in lieu of unused vacation up to the maximum allowable upon separation from Rensselaer.

If you are a fixed-term employee, you must use your vacation time before the end of your current appointment as you will not receive pay in lieu of any unused vacation.
